How to scale outreach without burning your domains
Sending more emails doesn't always mean more pipeline
One of the biggest mistakes teams make when scaling outbound is thinking volume equals results.
They crank up the number of emails sent per day from a single domain - and then wonder why replies dry up, deliverability tanks, and their domains get flagged.
The truth? Scaling outbound requires infrastructure that protects your reputation while distributing the load. Here’s how to do it right.

With 6 action types × 30 × 21 (~3,780 max actions), focusing only on messages gives 30 × 21 (630). Rounded to 1,000 actions per account to simplify planning, with extra credits covering other actions.
The risks of oversending
Domain reputation drops → once inbox providers see unusual spikes, you’ll land in spam.
Blacklisting → too much volume from one domain risks landing you on blacklists.
ESP flags → Google, Microsoft, and others monitor activity closely; breaking thresholds can lead to suspensions.
In short, oversending doesn’t just hurt a single sequence - it can nuke your entire infrastructure.

Best practices for scaling safely
1. Use domain pooling
Spread your sending across multiple domains. Instead of burning one domain with 500 emails/day, spread that volume across 5–10 domains to stay under the radar.
2. Rotate mailboxes
Attach multiple mailboxes per domain and rotate them. This avoids patterns inbox providers can detect, while giving each mailbox enough time to “cool off” between sends.
3. Diversify ESPs
Don’t rely solely on Google Workspace or Microsoft 365. By spreading activity across multiple ESPs, you decrease the risk of being throttled or flagged across your entire operation.
4. Keep a warmed-up backup pool
Always maintain a backlog of pre-warmed domains and mailboxes. That way, if one gets burned, you don’t lose momentum - you just switch in a replacement.
5. Monitor reputation constantly
Watch for dips in deliverability, rising bounce rates, or flagged domains. Catching problems early can save a domain before it’s too late.
