Steps to protect your outbound infrastructure
1. Audit and retire risky domains
Remove any “edu” or student/non-commercial domains from your sending roster. Ensure each domain is enterprise-registered, authenticated (SPF, DKIM, DMARC) and used solely for outreach.
2. Move to domain pooling + mailbox rotation
Distribute mail volume across multiple domains and rotate mailboxes per domain. This reduces patterns that auto-filters detect. Keep a “warm backup pool” of domains ready to swap in if one degrades.
3. Diversify ESPs and infra
Don’t rely exclusively on a single provider like Gmail or Outlook. Use a combination of ESPs and infrastructure types (standard workspace, SMTP, dedicated IPs) so you’re resilient against policy changes.
4. Raise personalization and target-fit standards
With higher risk comes less margin for errors. Ensure enriched contact data, intent signals, relevance-based messages (via tools like Leadsforge/Clay) and strong alignment to ICP.
5. Monitor reputation and deliverability continuously
Track bounce rates, inbox placement, spam complaint rates (<0.1% ideal), domain health metrics and use warm-up tools proactively to keep domains healthy.
